Custom invitation appointment Long Island

Your invitations are the first glimpse guests receive of your celebration. They introduce the colors, style, and level of formality while providing the important details your guests need. Whether you are planning a wedding, Sweet 16, quinceañera, bridal shower, or another special occasion, a little preparation can make your invitation appointment more productive and enjoyable.

At Violet Invitations in Ronkonkoma, Long Island, we guide you through the design process and help you create custom invitations that feel completely personal to your event. Here is everything you should know before your appointment.

Bring Your Inspiration

You do not need to have the entire invitation designed before you arrive. That is what we are here for! However, bringing a few examples can help us understand your vision.

Your inspiration may include:

  • Photos of invitations you love

  • Your event color palette

  • Floral arrangements or décor

  • Bridesmaid dresses or formalwear

  • Venue photos

  • Mood boards or Pinterest images

  • Your monogram, logo, or event artwork

  • Fabric swatches, ribbons, or other design elements

Even if your inspiration includes several different styles, we can help bring your favorite details together into one cohesive invitation suite.

Know Your Event Style

Think about how you want your celebration to feel. Is it romantic and elegant, modern and minimal, bold and glamorous, or soft and whimsical?

Your event style will help guide decisions such as paper colors, typography, printing methods, embellishments, and invitation construction. At Violet Invitations, we offer a variety of custom options, including:

  • Digital printing

  • Thermography

  • Letterpress

  • Foil printing

  • Acrylic invitations

  • Laser-cut wraps and pockets

  • Vellum jackets and belly bands

  • Wax seals and ribbon closures

  • Glitter, suede, and velvet backers

  • Envelope liners

  • Custom shapes and layered designs

  • Guest and return-address printing

Do not worry if you are unfamiliar with these options. During your appointment, we will show you samples and explain the differences so you can choose the details that work best for your vision and budget.

Have an Estimated Guest Count

Before your appointment, prepare an approximate number of invitations you will need. Remember that your invitation quantity is based on households, couples, and families, not the total number of guests.

For example, a wedding with 150 guests may only require 85 to 100 invitation suites.

We recommend reviewing your guest list before ordering and including a few additional invitations for last-minute additions, keepsakes, photography, or invitations that may need to be replaced. Ordering extra invitations later can be more expensive than adding them to the original order.

Think About Your Budget

Custom invitations can range from beautifully simple to highly detailed and luxurious. Sharing a comfortable budget range helps us recommend materials, printing methods, and embellishments that make the greatest impact without adding features that are not important to you.

Our custom invitation orders begin at a $500 minimum. Pricing depends on the quantity, paper selection, printing method, number of enclosure cards, embellishments, assembly, addressing, and other custom details.

A clear budget allows us to create the best possible combination for your event.

Gather Your Event Details

You do not need to have every word finalized before your appointment, but it is helpful to bring the essential information you already know, including:

  • Names of the hosts

  • Guest or honoree names

  • Event date and start time

  • Venue name and address

  • RSVP deadline

  • Dress code

  • Wedding website

  • Hotel accommodations

  • Transportation information

  • After-party or additional event details

We can help organize your information and determine what belongs on the main invitation, RSVP card, details card, or wedding website.

Decide How Guests Will RSVP

Consider whether you prefer a traditional mailed response card or a digital RSVP through your wedding or event website.

A traditional RSVP card creates a formal, classic experience and includes a pre-addressed return envelope. A QR code or website RSVP can be convenient, reduce paper pieces, and make responses easier to organize.

If you are unsure, we can help you compare both options and choose what makes the most sense for your guest list and event style.

Bring the Important Decision-Makers

We love sharing this experience with parents, family members, and members of the wedding party. However, too many opinions can sometimes make the design process feel overwhelming.

We recommend bringing the person or people who need to approve the design or contribute to the final decision. Before your appointment, discuss your general style, budget, and must-have details so everyone begins on the same page.

Consider Your Timeline

Custom invitations require time for design, proofing, printing, assembly, addressing, and delivery. Our typical production time is approximately two to three weeks after final artwork approval, payment, and receipt of all required information. Production may take longer during peak seasons or for specialty printing and highly customized designs.

This production timeline does not include the time needed for design revisions or mailing.

Wedding invitations are commonly mailed approximately six to eight weeks before the wedding. Destination weddings and events involving significant travel may require additional time. Beginning early gives you more design choices and creates room for thoughtful revisions without unnecessary stress.

Review Every Proof Carefully

You are responsible for reviewing your invitation proof before printing. Check every detail carefully, including:

  • Names and spelling

  • Dates and days of the week

  • Event times

  • Venue names

  • Addresses

  • Phone numbers

  • Website addresses

  • QR codes

  • RSVP deadlines

  • Meal selections

  • Grammar and punctuation

We include up to three artwork rounds with your order. Once everything is correct, written approval is required before your invitations are sent to print.

Ask another trusted person to review the final proof as well. A fresh set of eyes may notice something you overlooked.

Come Ready to Have Fun

Your invitation appointment should be an exciting part of planning your celebration. You will have the opportunity to explore paper colors, printing styles, pockets, ribbons, wax seals, acrylic, vellum, envelope liners, and other beautiful details.

You do not need to arrive knowing exactly what you want. Bring your ideas, event information, estimated quantity, and an open mind. We will help you transform your inspiration into a custom invitation suite that feels personal, polished, and perfectly suited to your celebration.
